How to use to Contract Status Sync

The Contract Status Sync is a bi-direction sync that sends Contract Statuses between AgentSync Manage & the Contracting. This allows contract assignments to be seen in both systems & reduce the likelihood of data discrepancies.

How does it work?

  • Once a Producer is assigned a contract within the Contracting Application and saved, the Contract assignment will appear under a Producer details > Carrier Contracts in the Carrier Contracts Object.

  • When a status is changed or writing number is added in Contracting, it will then be reflected within Manage
  • If a status is changed within AgentSync’s Salesforce or a writing number added, then it will be reflected in Contracting. 

Please note: when changing statuses in one system, please give it a moment before seeing the change reflected in the other. There can be a short lag between the two systems.

Pending with Agency

  • When a contract is assigned but has not been sent to the Producer to review 
  • When a Producer completes the contract(s) and submits back to the Agency for review

This status is system-generated. Do not move backwards to this status.

Pending with Producer

The contract has not yet been completed and submitted back to the Agency by the Producer

This status is system-generated. Do not move backwards to this status.

Pending with Carrier

The contract has been review by the Agency and submitted to the Carrier 

This status is system-generated. Do not move backwards to this status.

Approved

The Producer's Contract has been approved by the Carrier.

Manually triggered. Do not move from Approved to another status unless that status is terminal. 

Awaiting Incoming Release

The Producer has not been released by a former Agency

Awaiting Outgoing Release

Agency is in process of releasing an appointed agent

Manually triggered

Declined

This carrier has rejected the Producers contract request.

Manually triggered.  Terminal, do not move from this status

Expired

This Producer contract with the carrier has expired.

Pending Backgrounds

This Producer is awaiting a background check prior to confirm carrier appointment.

Pending New Business

Agency is awaiting a Producer to sell new business before submitting the carrier's contract.

  • If an Agency Agency Admin assigns a contract to a producer but selects “Producer” in the Initially filled by field, that status will be automatically changed to “Pending Producer”
  • If an Agency Agency Admin assigns a contract to a Producer but selects “Agency Admin” in the Initially filled by field, those contract statuses will be automatically changed to “Pending Agency”
    • One the Agency Agency Admin completes the contract and sends to the Producer, the status will automatically change to “Pending Producer” 
  • Once the Producer signs and submits their contract, the status will be automatically changed to “Pending Agency”. This notes that an Agency Admin at the Agency needs to review prior to submitting to the Producer
  •  The Agency Admin will then Review the contract(s),
    • If a change is made, and sent back to the Producer, the status will be moved to “Pending Producer”
    • If the contract has no changes and is sent to the Carrier, the status is automatically changed to “Pending Carrier”
  • Once a status is “Pending Carrier” it must be manually moved to “Approved”, “Declined”, “Pending Backgrounds” or whatever status you deem most appropriate at that point in time.  
  • Please note, at any time a Agency Admin can update a status into a manually created onto. 


Limitations

  • If a status is moved from `pending with carrier`, `approved`, `withdrawn` to `pending with agency`, `pending with producer`, the workflow will be nullified and a new contract will need to be assigned to the Producer. 
  • If there are multiple contracts being addressed together, and one contracts status moves forwards or backwards, the contract may have an error. To rectify, please adjust the contracts to the same status. If you are still running into issues, reach out to support.
