Streamlining Contract Review and Submission
As an agency admin in AgentSync Contracting, you hold a crucial role in ensuring the accuracy of contracts before submitting them to carriers. Your responsibilities include reviewing contracts, making necessary edits, and overseeing the contract submission process. This article will guide you through the steps of viewing and managing tasks, streamlining the workflow for contract review and submission.
Accessing and Reviewing Tasks
1. Navigate to the Dashboard tab located on the left side of AgentSync Contracting.
2. In the dashboard, you will find a list of outstanding tasks that require your attention in the Review contracts in progress tab.
3. Click Review on a specific task from the dashboard to initiate the contract review process.
4. You can now enter and/or review the Producer's Personal Information, Firm Information, Payment Details, E&O, Licenses and Training & Certificates.
AgentSync Tip: Payment Details, E&O, Licenses and Training & Certificates are not required before sending the contract to the Producer. However, filling in this information on behalf of the Producer provides a much more streamlined Producer experience.
5. Review or Complete all Legal Questions that you are able to on behalf of the Producer. When complete, click Next.
6. Review or Upload all supporting Contacting Documents to be included with the submission. When complete, click Next.
7. Review or Answer all Carrier Questions that you are able to on behalf of the Producer. When complete, click Next.
8. Once the Producer section has been reviewed and/or completed by you the agency admin, if any edits were made in this section it will need to be sent to the Producer for their signature. If no edits were made and this was simply a review of the information, you can either SAVE & EXIT to return to your Dashboard or proceed to the agency admin section of the workflow to complete the packet and send to the carrier.
- Click SEND TO PRODUCER to send a copy of the contract to the Producer to review, complete and sign. Continue to Step 9.
- Click SAVE & EXIT to save all updates made and return to Dashboard.
- Click NEXT to complete agency admin section of the workflow.
9. Review all Agency <> Carrier Questions for each Carrier (if more than 1). When complete select Next.
10. Review and select Documents for Submission for each Carrier (if more than 1). When complete select Next.
11. Review Submission Emails for each Carrier - see below.
Customizing and Submitting Contract Packets
- If the contracting packets are accurate and complete, proceed to review and edit the final submission emails.
- Customize the recipients, subject line, and email copy, if desired.
- When ready, select the "submit" button to send the contract packet to the carrier.
- An email will be sent to the carrier, including a PDF attachment of the contracting packet.
- After submission, the task will be moved from your dashboard to the pending contracts tab, reminding you to follow up with the carrier for contract status.
Updating Contract Status
- Upon receiving confirmation from the carrier regarding the contract status, navigate to the Contracts pending with Carriers tab or the specific Producer's tab.
- Check the contract details for the Producer and update the contract status accordingly.
