Continuing Education

Learn how to track continuing education in Manage with the following instructions.

Overview

What is included in the CE Feature?

The AgentSync CE feature consists of five Salesforce objects.

AgentSync Tip: We recommend filling out this information in the order it is presented.  Generally products and categories stay the same, you may adjust requirements, assignments and courses more frequently.

CE Providers

If your company has a list of approved CE providers, your AgentSync admin is able to set up the provider(s) for the team to use repeatedly when adding new CE assignments.

CE Categories
The AgentSync Admin is able to establish customized categories that relate to the CE requirements set forth by the state insurance departments. A few examples of these are "Ethics", "Electives", and "Property". This allows the CE to be grouped into standardized categories for reporting and tracking purposes.

CE Requirements
Education Requirements can be built out by State, Agent Type, and Line of Authority by the AgentSync Admin. These requirements can be assigned to multiple producers/adjusters within the system based on their licensing requirements. A CE Requirement can also be inactivated if the requirement is ever modified.

CE Assignments
Each producer/adjuster can have different requirements assigned to them by their AgentSync admin. These assignments can be related to a specific license that the producer/adjuster holds to ensure that they are maintaining the appropriate requirements for the license. Due Dates and hours completed are tracked within the Assignment component.

CE Courses
Once a producer/adjuster has been enrolled in an education course to fulfill a requirement, that information can be related to an assignment by adding a CE Course record. A producer/adjuster can have multiple courses related to an assignment to fulfill the requirement. Documentation for the course completion, such as certificate, can be uploaded to the course object for tracking purposes

How does this work?

A state will have a requirement that a producer/adjuster will need to fulfill in order to maintain their license. These requirements are usually standardized based on State, Line of Authority, and Requirement Category.

A producer/adjuster will have a CE Assignment for each state requirement that is applicable to their licenses. Each assignment can be fulfilled by taking one or more courses from an agreed upon CE provider. The course completion date, hours completed and proof of completion can be saved to the course object for easy reference. A CE Assignment record allows the AgentSync admin to track the number of hours that have been completed for a specific assignment. Once a producer/adjuster completes the necessary hours, the CE assignment will be automatically marked "Compliant". If a producer/adjuster fails to complete the necessary hours before the
due date, the CE assignment will automatically be set to "Non-Compliant". This allows the AgentSync admin to utilize reporting to quickly identify which producers/adjusters are compliant or not compliant with their CE assignments.
