How to Create, Edit or Assign a Producer Assignment

Through Producer Assignments, Manage allows you to pre-assign your agents to the states and lines of authority that you expect them to be licensed and/or appointed in.

What is a Producer Assignment?

A Producer Assignment is an awesome tool created by AgentSync that allows you to indicate which states and lines of authority your producers are expected to be licensed and/or appointed in (for appointment tracking, you can also indicate the company). 

Once a Producer Assignment is assigned to a producer's Contact, User or Account record, Manage will automatically create a Scorecard. This Scorecard compares the information on the Producer Assignment with the license and/or appointment information pulled in from NIPR to give you a quick and easy view into whether this producer is missing any of the licenses and/or appointments that they need!

How to Create a Producer Assignment

Keeping track of what and where your producers are able to sell can be a challenging manual process. That's where the Producer Assignment comes in! 

Your Producer Assignment does the following:

  • Calculates the percentage of licenses your producer has (through the NIPR sync) versus the ones you would like them to have (based on the Producer Assignment)
  • Determines which state-specific questions your agent is required to submit

Note: In order to surface background questions based on Producer Assignments, you must enable this feature by following these steps.  This will enable state-specific background questions for your entire org.  

How to Create an Individual Producer Assignment

An individual producer assignment is for one producer and one producer only.  

Step 1: Navigate to the producer's Contact, User or Account record by typing their name in the Global Search Bar at the top of your Manage screen

Step 2: Click the name in the preview that has the label of Contact, User or Account under the name

AgentSync Tip: Don't see your producer's Contact record in the preview? Try clicking "Show more results for" at the bottom of the preview.

Step 3: Click New Producer Assignment in the top right corner. Try clicking the down arrow for more options if you don't see the button

Step 4: The Producer Assignment Name auto-fills your producer's name and NPN. We recommend keeping the default value of the record name

Step 5: Beneath the name is a drop down for Scorecard Type. The scorecard type determines whether you are using this scorecard for licensing only (Licenses) or appointments/license verification (License + Appointment

Step 6: The Agent Type(s) selects what type of agent you would like to license and appoint for!  You can select multiple agent types. Producer is chosen as the default option, but you can use the arrows to add or remove types as needed

Step 7:  The next section allows you to choose the State License(s). Select all states and use the arrows to move them over to the Chosen section

Step 8: Now select the LOA Categories you would like to appoint or license. Again, select the LOA Categories you need and use the arrows to move the selection from available to Chosen

Carriers Only:

Scroll down to select for which Company Name(s) you would like your agent to hold appointments. Click the arrow to move the selection from Available to Chosen.

Step 9: You will be brought to a page where you can make final edits to individual states, producer types or companies before saving the Producer Assignment. There are filters available to help you easily find the data you need to edit. Simply click the filter(s) and a dropdown message will display.

Step 10: You may need to delete an LOA Category from some states. For example, You need Health and Life in most states, but in a few you only need Life. Click the Check Box next to the state(s) you need to update, and click Edit LOA Categories

Step 11: You can also delete a line that you do not need. For example, If you do not need to appoint in certain states with one Company, you can remove it! Click the Check Box next to the state(s) you need to delete and click Delete Row(s)

Step 12: Once all of your edits are made, click Save

Your Producer Assignment is now created! You will be redirected back to the Contact record of your producer and the Producer Assignment will automatically be linked to that Contact. If your producer already has their NPN synced, a Scorecard will now generate.

How to create a generic producer assignment

A generic producer assignment is for multiple producers.  This use case is best for territories or cohorts.  Editing a generic producer assignment will recalculate the Producer Compliance Scorecard for all producers who have this assignment.

Step 1: Click the Producer Assignments Tab

AgentSync Tip: Can't find the Producer Assignments tab?  Click the 9-dotted square in the top left corner in Manage next to the tabs and type Producer Assignments

Step 2: Click New in the top right corner

Step 3: Select Generic Producer Assignment

Step 4: Enter in a name in the Producer Assignment Name field

AgentSync Tip: We recommend using a name that describes the territory of the assignment or the LOAs on the assignment, such as "Health All States" or "Midwest P&C" to make it easy to identify later on

Step 5: Follow steps 5 - 12 in the individual producer assignment section

Step 6: Navigate to the Contact record of the producer you wish to assign this Generic Producer Assignment to

Step 7: Click the pencil next to the Producer Assignment field

Step 8: Type the name of your Generic Producer Assignment in the blank box and select it in the dropdown menu

Step 9: Click Save

Did you know?

Manage now supports licenses and appointments for the travel agent type. Selecting both producer and travel agent types on the producer assignment allows for separate licensing and LOAs.

Please Note: You will only see a row on the appointment scorecard for an agent type if the state offers a license class for the agent type.

How to Edit a Producer Assignment in AgentSync Manage

Step 1: Click the Producer Assignments tab across the top of your page

AgentSync Tip: Don't see the Producer Assignments tab? Try clicking the "More" drop down arrow to view additional fields.

Step 2: Click the assignment you would like to edit

AgentSync Tip: Can't find the producer assignment you wish to edit?  Try searching for it in the global search bar!

Step 3: Click the Edit button

Step 4: On this page, you can remove states and edit Lines of Authorities. To delete a row(s), select the state line(s) and click "Delete Row(s)". To edit LOA(s), select the state line(s) and click "Edit LOA Categories".

AgentSync Tip: If that is all you need to change, click Save. Your producer assignment changes will be updated in Manage!

Step 5: To add states, agent types, or to change the assignment name, click previous & click "OK". 

Step 6: You are now brought to the page where you created your assignment.  Here you can add states, update your agent types, change the assignment name, and also remove states/add lines of authorities like you could on the previous page.

Step 6: Click Next, as if you were creating a new assignment

Step 7: Click Save

And you did it!  You edited your producer assignment.  

If this assignment was assigned to multiple producers, all producers will reflect that edit and a new scorecard will be calculated.

2. Click the assignment you would like to edit.

4. Here we can add or remove lines of authorities on an individual state level. In this exercise, we will add a line of authority to all states. Click highlight above the states to select all states.

5. Click Edit LOA Categories

6. Click Casualty

7. Click Move selection to Available. If removing a LOA, you would simply click the available LOA and move the section from available to the other side.

9. Let's remove a state! Click in the desired state to select it (click additional boxes if more than one state).

10. Click Delete Row(s)

12. Click OK on the warning pop-up.

13. By clicking previous, you're brought back to the original page. Make your edits here by clicking and adding the key states.

15. Click the Save button. And you did it! You edited your producer assignment. If this is a generic assignment, all producers will reflect that edit and a new scorecard will be calculated.

How to Assign a Producer Assignment

Do you need to assign an already created producer assignment (most likely a generic assignment) to a producer's record? If so, follow these instructions!

 

Step 1: Navigate to the producer's Contact, User or Account record by typing their name in the Global Search Bar at the top of your Manage screen

Step 2: Click the name in the preview that has the label of Contact, User or Account under the name

Step 3: Find the Producer Assignment field and click the small gray pencil icon to edit the field. 

Step 4: Type in the name of the of the Producer Assignment in the Search Producer Assignments bar. Click the name of the desired Producer Assignment.

Step 5: Click Save
