How to Onboard a Producer or Entity in AgentSync Manage

This article will walk through how to onboard a producer or entity and trigger the daily NPN sync.

How to Onboard a Producer Using the Contact Record

Step 1: The first step is to open AgentSync Settings | Salesforce and click Contacts

Step 2: Click New

Step 3: Type in your producer's first and last name.

Step 4: Each contact must have a corresponding account.  Click Account Name and select the account that your agent is associated with.

Don't see your account name?  Try typing the name or selecting "New Account" to add your account.

Step 5: Type in the agent NPN  
Step 6: Click Save.
🎉 Now you can see the full sync!  This section shows the name, date of birth, and whether the Agent is activated to receive daily updates with NIPR.  If you have any custom fields you would like to track, email us at support@agentsync.io and we can include them here!

11 STEPS

1. The first step is to open AgentSync Settings | Salesforce and click Contacts

2. Click New

3. Type in your producer's first and last name.

4. Each contact must have a corresponding account. Click Account Name and select the account that your agent is associated with.

5. Type in the agent NPN

6. Click Save

7. Now you can see the full sync! This section shows the name through the NIPR sync, date of birth, whether the Agent is activated to receive daily updates with NIPR. If you have any custom fields you would like to track, you can add them here.

8. Scrolling down, click "view all" to see your producer's licenses.

9. You can click the hyperlinked blue license number to view more information on the license (hover over it for now)

10. Click View All to see your producer's carrier appointments to see a list that looks like the licenses. (We will hover for now)

11. Are you done tracking this producer? Change this AgentSync tracking field from active to inactive to no longer receive updates.

This will freeze this producer in time - you can use this information for any backend audits

How to Onboard an Entity using the Account Record

Step 1: Click new on the account tab

Step 2: Enter the entity name.

Step 3: Enter the NPN

Step 4: Click save.

Step 5: Your entity will sync instantaneously.  The green flag under AgentSync status means that your sync was successful.  The AgentSync tracking = active means that your entity will receive daily updates from NIPR.

Step 6: Scroll down the account page to click "view all licenses."

Step 7: This shows all licenses associated with this entity

Step 8: Scroll down the account page to click "view all carrier appointments"

Step 9: This shows all carrier appointments associated with this entity.

How to onboard a producer using the user (or people) record

10 STEPS

1. First, click the 9-dotted square and type companies.

2. Click the company you would like to enable internal appointments for.

3. Click Edit Create Internal Appointment

4. Scroll down and click Create Internal Appointment

5. Click Save

6. Let's try it out! Enter the name of your producer.

7. Click appoint.

8. All internal appointments will have a designated "†" sign.

Note: this view does not have any internal appointments.

9. Click the appointments you would like to apply for.

10. Click Create NIPR Appointment Transactions.

Step 1: Find your user by typing their name in the Global Search Bar at the top of your page

Step 2: Click the name of your producer with the label User under the name

AgentSync Tip: Don't see your producer's User record in the preview? Try clicking "Show more results for" at the bottom of the preview.

Step 3: Click Edit on the top right side of the page.

Step 4: Enter your user's NPN in the NPN field

Step 5: Click Save

Your Producer Onboarding Checklist

Onboarding a producer may seem straightforward, but there are a couple key fields that you must include include to ensure that your producer is onboarded correctly!

AgentSync Note: Do you have multiple agencies that share an NPN?  We recommend adding the NPN to one agency only.  The agency with the NPN can serve as the parent account for all of the branch agencies to track the association.

Step The "Why"
Search to confirm that the producer's NPN is not already in your AgentSync system. Duplicate NPNs result in data being split (ex: if you have a producer who is licensed in TN and WY, your contact records will split this data, so one contact will have a TN license only and one contact will have a WY license only). To add a rule to prevent duplicate NPNs in your AgentSync org, please email support@agentsync.io.
You add your producer's:
1. First name
2. Last name
3. Account record (contacts only)
Salesforce requires all contacts to have an account in order for the contact to be searchable and invited to the portal.
The status field on your producer shows success. This confirms that the NPN is correct and syned successfully. If your record does not show success, click here.
You complete all added fields on your contact record. You may have fields unique to your AgentSync org such as manager, cost center, or date of hire. Adding these fields allows them to be reportable.
You click save. This ensures that your information is saved!
