How to create a new Account and Contact Record

Follow these steps to create a new account (entity/agency) and/or contact (producer/agent) record in AgentSync.

9 STEPS

1. Click New on the account tab

2. Enter the Account Name

4. Click "Save" to create your account.
If you wish, you can also enter additional details prior to hitting save.

5. Your entity was saved and synced with NIPR! The green flag and AgentSync status = success indicate that this sync was successful.

The AgentSync tracking = active means that your org will receive daily updates from NIPR.

6. Scroll down and click View All Licenses

7. You can view all licenses associated with the account.

8. Go back to the account record. Scroll down and click View All Carrier Appointments

9. You can view all carrier appointments associated with this account!

And you did it! You are all set.

How to create an entity using the Account Record

Step 1: Navigate to the Account object (tab).

Step 2: Click new.

Step 3: Enter the Account name (Entity or Agency).

Step 4: Enter the NPN

Step 5: Click save.

Your entity will sync instantaneously.  A green flag displayed under AgentSync status means that your sync was successful.  A status of AgentSync tracking = active indicates that your entity is set to receive daily updates from NIPR.

Step 6: Scroll down to the account page to click "view all licenses."

Step 7: This section displays all licenses linked to the entity.

Step 8: Scroll down the account page to click "view all carrier appointments"

Step 9: This section shows all carrier appointments linked to the entity.

11 STEPS

1. The first step is to open AgentSync Settings | Salesforce and click Contacts

2. Click New

3. Type in your producer's first and last name.

4. Each contact must have a corresponding account. Click Account Name and select the account that your agent is associated with.

Don't see your account name? Try typing the name or selecting "New Account" to add your account.

5. Type in the agent NPN

6. Click Save

7. Now you can see the full sync! This section shows the name through the NIPR sync, date of birth, whether the Agent is activated to receive daily updates with NIPR. If you have any custom fields you would like to track, you can add them here.

8. Scrolling down, click "view all" to see your producer's licenses.

9. You can click the hyperlinked blue license number to view more information on the license (hover over it for now)

10. Click View All to see your producer's carrier appointments to see a list that looks like the licenses. (We will hover for now)

11. Are you done tracking this producer? Change this AgentSync tracking field from active to inactive to no longer receive updates.

This will freeze this producer in time - you can use this information for any backend audits

How to create a producer using the Contact Record

Step 1: Navigate to the Contact object (tab).

Step 2: Click New.

Step 3: Type in your producer's first and last name.

Step 4: Every contact needs to be linked to an appropriate account. To do this, click on Account Name and choose the account associated with your agent.

Helpful Tip: If you cannot see the account name in the list, you have two options: you can begin typing the account name to perform a search, or you can select New Account to create a new entry.

Step 5: Type in the agent NPN. 
Step 6: Click Save.
Now you can see the full sync. This section displays the producer's name, date of birth, and indicates whether the agent is set up to receive daily updates from NIPR.  If you have any specific custom fields that you would like to monitor, please reach out to us at support@agentsync.io, and we will be happy to add them for you.

Checklist for creating a new Contact Record

While onboarding a producer may appear simple, it is essential to include several key fields to ensure the onboarding process is completed accurately.  Once you have filled in these details, you are ready to proceed:

Steps 1-5 The "Why"
Search to confirm that the producer's NPN is not already in your AgentSync system. Duplicate NPNs result in data being split (ex:If a producer is licensed in both TN and WY, the contact records will separate this data, resulting in one record for each state.). To prevent duplicate NPNs in your AgentSync org, email support@agentsync.io.
You add your producer's:
1. First name
2. Last name
3. Account record (contacts only)
All contacts in Salesforce must be linked to an account to ensure they can be easily found and invited to the portal.
The status field on your producer shows success. This confirms that the NPN is correct and synced successfully. If your record does not show success, click here.
Complete all added fields on your contact record. Including specific fields like manager, cost center, or date of hire enhances reporting and captures all relevant information.
Click save. This ensures that your information is saved.

 

Helpful Tip: Do you have multiple agencies that share an NPN?  We recommend adding the NPN to one agency only. The agency with the NPN can serve as the parent account for all of the branch agencies to track the association.
